The Mnjikaning First Nation is a proud, progressive community representing the Chippewas of Rama and situated in Orillia, north of Toronto, Ontario, Canada.

The Council of the Mnjikaning First Nation is responsible for managing the various municipal services in the community, such as Health Care, Fire, Police and other services.  Many paper and electronic documents are generated by the various departments of the Council, all of which must be securely managed and be available for instant access.  These documents include the weekly Council meeting minutes, Band Council Resolutions, accounting data, health care information, as well as documents that are exchanged with the Canadian federal government.

In 2000, Mnjikaning realized that with its fast economic growth, there was an increasing need to maintain secure and accurate access to information from its Council, various departments, and businesses while enforcing authorized access to sensitive information. 

A study was conducted to assess technical readiness as well as information management requirements. That study was followed by a market evaluation of existing technologies and was finalized with a multi-phased approach toward meeting Mnjikaning’s requirements.  Several leading solutions were evaluated with the final selection going to the Saperion Enterprise Document Management Solution.

Enara Technologies Inc. worked closely with the Mnjikaning First Nation to transform the business requirements from a detailed needs analysis study into a live solution for over 150 users.  The solution architecture is based on an HP server with dual CPUs and 1 GB+ RAM which runs the Saperion Broker server to manage the SQL database, as well as the Saperion Document Server that manages the primary document repository on a RAID 5 array.  A similar server was configured with the Saperion High End Document Server and an HP Optical Jukebox, which manages the live data mirroring from the primary repository to the optical media. 

Solution Features:

  • Comprehensive Information Management solution for 150 users.
     
  • Document Imaging:  Scan and automatically OCR all paper documents
     
  • Document Management:  Ability to index, store & retrieve any application file in any format including Office applications, Audio, Video and other formats.  Revision Management ensures that any change on a document or its metadata will create a revision that can be accessed at any time.
     
  • Content Management:  The contents of application files (Word, Excel, PDF, etc) as well as scanned documents are extracted and indexed in a Full-Text database which allows searching by any word that appears in the content.
     
  • Microsoft Office Integration:  Allows users to easily store and retrieve documents from within Word, Excel, PowerPoint & Outlook.
     
  • Advanced Security:  Access restrictions can be placed on any document to allow only authorized users to access it.  For scanned documents, this feature extends to any page within the document if it is desired to limit access to certain pages within the document.
     
  • Audit Trail:  Tracks every action taken in the system including the name of the user, timestamp, and details of the action taken.
     
  • Live Data Mirroring:  Creates an up-to-date backup of every document that is written or modified by replicating the primary storage to an off-site optical jukebox.
     
  • Business Continuity:  Provides Failover capability between the primary and the off-site document repositories.  This feature works transparently to the end users and allows Saperion to continue to store and retrieve documents from the off-site server if the primary repository fails.
     
  • Disaster Recovery:  In the event of a serious disaster (e.g. Fire) that destroys the database server and backup tapes, Saperion can fully reconstruct all database tables including all metadata and revision information from the off-site repository; effectively restoring the system back to its state prior to the disaster.
