Intelligent Information Management

Intelligent Information Management (IIM) is the evolution of Enterprise Content Management (ECM). While ECM focused on the management of content, IIM evolves it to managing data and content using structures, processes and underlying technology solutions.

IIM is more than a tool, it is the strategies, methods, modules and solutions that together manage the lifecycle of content and data from creation to capturing to securing to automating to delivering and finally to disposition. To a Digital transformation strategy, IIM is a foundation block for enabling successful information management and as a result, informed and educated decision making.

IIM enables an organization to easily locate information that is tagged and indexed and automatically process information based on set rules. By using advanced Modules, IIM benefits from Artificial Intelligence and Machine Learning and can automatically classify, match and index incoming information. Some modules will allow management and control of documents without the need for moving them from the existing location for example, while the documents are stored in a shared drive or in SharePoint.

Intelligent Information Management conquers the information silos created by traditional ECM and Data management solutions; it offers a venue that allows users to locate the latest and most accurate information available to them using simple search operations.

Unified Information Views

Information nowadays reside in multiple separate repositories, each with its own interface, security, login credentials, terminology and search methods.
Not knowing where the latest information is, or whether the information exists or not, within the organization, means users will have to spend time and energy in trying to locate the needed information.

Unified Information Views uses some of the latest technologies to assist users in locating all relevant data that are exact match or match by association to the search terms used.

With Pre-built connectors, faceted navigation, conversational search, natural language support and other intuitive features, users do not need to enter perfect queries to get the right results. Unified Information Views makes locating key information simple, straightforward and quick, regardless of where it exists:
ECM solutions, SharePoint, OneDrive, Microsoft Teams, Google Drives, content repositories, databases, network shares, websites, email systems and more.

By enabling Unified Information Views, users can navigate through the result list and, if required, can move content and data from separate repositories to a unified IIM repository, thus, eliminating the need for costly traditional information migration projects.

Intelligent Information Automation

Automation meets Artificial Intelligence and Machine Learning. From intelligent data extraction , analysis, decision making and processing to analysis and processing of images to full automation capabilities, intelligent automation increases efficiency while reducing operational costs.

Automated Invoice processing; Automated Check Remittance; Automated Information Classification; Automated Routing based on Machine Learning; these are some of the most common uses of Intelligent Information Automation today.

Since the technology can adapt to any business scenario, and due to the use of machine learning, the technology can be deployed into areas that might have an impact on Security, where certain information would automatically be routed for approval or require elevated security clearances.

From Data acquisition to validation against existing data, to indexing and uploading, Intelligent Information Automation can assist in streamlining processes and ensuring compliance.
While this technology was reserved for big corporations, the advancement and availability of the different modules makes it available to any and all organizations today.

Compliance Enablement

Organizations today are asked to adhere to compliance regulations designed to safeguard information, processes and quality.
While some industries such as Pharmaceutical, Financial, Construction, are more regulated than others, safekeeping of personal information related to clients, contractors and employees is regulated across the board.

Audit trails, Version control, Process control and most importantly, Access control are key aspects of Compliance and must be tied to data and content that are structured according to the Compliance regulation to be met.

IIM features and modules can be deployed as control mechanisms capable of ensuring adhering to technical requirements and by using Intelligent Automation, can assist in identifying sensitive information as well as identifying missing or needed human input or engagement.

Some of the Compliance and Regulations solutions can assist with are, but not limited to:

Business Process Re-Engineering

Business Process Re-engineering (BPR) is a strategy that takes a holistic approach of examining operational blocks, their impact and how to streamline them into a unified business objective through process engineering and automation.
With market changes and shifts, an organization must maintain a fluid and flexible operational process that can quickly and economically adjust and adhere to the needed changes. By employing technological advancements as a tool within the operation process, change impact can be minimized while at the same time maintaining the overall goal of the organization.

A solid business needs analysis project coupled with an information needs analysis is the first step in a BPR project. The outcome must be translated into IIM project that serves as the foundation for a successful process re-engineering design.
Enara’s expertise in this area dates to 1996 as a participant in the Workflow Management Coalition conference held in Toronto Canada.
Over the years, Enara has assisted multiple Public and Private sector clients in redesigning their business processes.

Digital Transformation

Digital Transformation covers a vast area of operations and while all areas involved are important, the foundation block of a Digital Transformation strategy is Information Management (IM).
From an IM point, it is not just digitizing that plays a role in Digital Transformation; it is the availability of the right information to the right user at the right time, regardless of location or device in use.

Certain elements of digital transformation are agreed to by the majority, those elements are:

1

 Customer experience

The right information must be immediately present to the client facing representative for a solid customer experience

2

Operational agility

The ability of an organization to adapt to change quickly and adjust the processes accordingly

3

Workforce enablement

Providing the workforce with the right information regardless of location or device

4

Technology integration

From connecting to ERP solutions such as SAP or Salesforce to integrating with Microsoft Outlook, SharePoint or Teams to using mobile devices to access organization infrastructure and information

As evident, Information is a key ingredient in the successful deployment of a digital strategy and our services and solutions all play into that key ingredient.

By understanding the goal and needs of the organization, a transformation strategy can be formulated and step by step, achieving the desired outcome can be guaranteed.
